Buckhorn AI LLC ("Buckhorn", "we") provides Buckhorn AI, a software service. This page says what we collect on this website and in the product, what we use it for, and who else handles it on our behalf.
On this website
The “Book a call” form. When you send it, we keep what you typed - your name, the business, your email, your phone number if you gave one and the systems you ticked - and the time it arrived. We also keep your browser’s name and a one-way hash of your network address. The hash is used only to stop the form being flooded; the address itself is not stored.
We use this to contact you about Buckhorn AI. We do not add you to a mailing list, and we do not sell or rent it to anyone. We delete a request 12 months after it arrives, automatically. To have it deleted sooner, email tarnold@buckthetrend.co.
Subscribing online. When a business subscribes through our signup form, we keep the company’s legal details and address, the signer’s and billing contact’s names and emails, the number of seats and the systems it wants connected, with a one-way hash of the network address it was sent from (to stop the form being flooded). We use them to prepare and send the subscription agreement for e-signature (through our self-hosted signing service) and to set up billing and the workspace. Card and bank details are entered on Stripe’s own page and kept by Stripe, never by us.
No tracking. The public pages set no advertising or analytics cookies and load no tracking scripts. Signing in sets the cookies needed to keep you signed in, and nothing else.
In the product
Buckhorn AI is used by the businesses that subscribe to it (anyone can, at /signup). For those businesses, it reads from the systems they connect - for example inventory, accounting, point of sale or email - to answer the questions their people ask.
- Used to provide the service, and to improve it as the addendum says. A client’s data is used to answer that client’s questions and run that client’s workspace. Under the Data Use and Improvement Addendum, a company’s admin also lets us use it to improve Buckhorn AI’s own models and tools. We never sell it or give it to anyone for their own training, and we keep it confidential. The full terms are in the Subscription Agreement and that addendum.
- Each business is kept apart. Every client has its own workspace. The address decides which business you are in and your sign-in decides who you are; if they do not agree, you get no access.
- Read-only by default. Looking something up never changes it. Anything that would write to a connected system or send a message is shown first as a draft on an approval card, and nothing happens until someone with authority approves it, unless the business has asked us to turn approval off for a particular system.
- Who can see it. The people in the business who have been invited, and the Buckhorn staff who support that business’s account.
- What we keep. Conversations, answers, the files produced from them and the figures shown on the business’s board are stored in that business’s workspace, so people can come back to them. The books and shop records themselves stay in the systems they came from.
- AI answers. Answers are generated by AI from the connected data and can be wrong. The product checks figures against the source data before showing them, and people should review important figures before acting.
- Deletion and export. A client business can ask for its data to be exported or deleted by emailing tarnold@buckthetrend.co. How long product data is otherwise kept is set out in our agreement with that business.
Who processes data for us
We use a small number of service providers to run Buckhorn AI. Each handles data only to provide its service to us, under its own contract terms:
- AI model processing - Anthropic. Reads a question and the data needed to answer it. Under Anthropic’s commercial terms, data sent through its API is not used to train its models.
- Database and storage - Supabase. Holds accounts, workspaces, conversations and call requests.
- Hosting - Vercel and Railway. Run this website, the app and the service that does longer pieces of work.
- Payments - Stripe. Takes and keeps card and bank details, and charges the subscription.
- Email delivery - Resend. Sends email such as sign-in codes, reports and replies to call requests.
Data travels over encrypted connections (HTTPS), and our database provider encrypts stored data at rest.
